Do not mix currencies or asset values in one sum without an approved common basis. A displayed valuation is not proof that the valued amount can be converted or transferred at that figure.

Hypothetical example: remove an assumed inflow

A fictional seven-day worksheet uses only illustrative USD planning amounts. Confirmed starting funds available for the stated obligations are USD 2,000. Due outflows are USD 3,500.

An assumed on-time scenario includes USD 3,000 from an externally approved conversion arrangement:

USD 2,000 + USD 3,000 − USD 3,500 = USD 1,500.

The delayed scenario assumes none of that USD 3,000 becomes available within the window:

USD 2,000 + USD 0 − USD 3,500 = −USD 1,500.

The negative result exposes a planning gap under the assumptions. It does not authorise borrowing, postponing a bill, moving customer funds or using an unapproved service.

These figures are not current asset prices, exchange rates, provider settlement times or DROPS balances. No automatic conversion or funding feature is demonstrated.

Identify what makes availability uncertain

Record the actual external dependency and its current evidence. It may concern a provider decision, an account restriction, timing, a technical issue or an unresolved review. Do not replace all of those with the word “pending.”

Keep the assumed amount and time separate from a confirmed outcome. A communicated estimate should remain identifiable as an estimate, and a change needs an owner to update the scenario.

Do not recommend a replacement provider because it appears to accept the asset. Its business, product, jurisdiction and fund-flow permissions require their own review.

Preserve customer obligations during the review

The merchant's operating-cash question does not by itself change the treatment of an accepted customer payment. Keep existing orders, disputed receipts and authorised financial decisions accountable.

Use payment reconciliation to match order, request and receipt evidence. Use the payment-flow comparison to distinguish acceptance from merchant receipt and fund-control arrangements.

Avoid automatically demanding another payment, assigning excess funds elsewhere or promising a refund to solve the cash scenario. Those are separate authorised decisions with their own evidence.

End with a reviewed scenario and dependencies

Record the checked basis, unresolved inflow, resulting gap and responsible reviewer. Seek the appropriate financial and legal review before any response that changes obligations or funding arrangements.

Recheck the scenario as availability changes. A restored service does not prove every receipt is usable.
