For cannabis brands and shop operators, recovery starts with identifying the approved asset, where it is held and who can retrieve an authorized usable copy. Do this while the supplier is available. Seeing an image on your website does not establish access to its editable source or permission for another use.

Separate the shop image from the source asset

A customer-facing image may be enough for the current listing. A later crop, revised label or different placement may require another file or the original editable material.

List those needs separately. Do not describe a downloaded preview as an editable master, or assume a supplier's layered file includes every linked image or font needed to use it.

Decide what the business actually requires. Avoid requesting every project file when a permitted, usable image and an agreed correction route meet the need. If editable material is necessary, confirm its delivery and use scope explicitly.

Check a usable copy before calling the handover complete

Ask the authorized receiving person to retrieve the agreed file and open it with the intended tool. Inspect the image, item identity and version; a successful download is only the first check.

For an editable source, verify the specific task you expect to perform. Record missing dependencies or an unavailable tool as unresolved. A filename extension does not prove that the file can support the required change.

Keep the delivered source distinguishable from later working copies. Give derivatives clear references to their source version and approved purpose. This is an owner-managed convention, not an immutable history feature.

Hypothetical example: the preview is available, the source is not

A fictional shop has an approved listing image for TRAINING-ITEM-A. Its supplier also holds an editable source needed for an agreed label revision.

The receiving owner can open the listing image but cannot retrieve the editable file. The worksheet records two different results: the current shop asset is available; the revision source remains unresolved.

The owner requests the agreed source and its necessary supporting files through the authorized route. They do not label the handover complete or reconstruct an unapproved replacement from the preview.

If the supplier is already unavailable

Inventory the files the business can legitimately access and identify their approved uses. Keep missing items and uncertain permissions separate from confirmed assets.

Name the person handling each gap. A suitable next step may be retrieving an existing agreed copy, locating the responsible custodian or commissioning replacement work under an approved brief. Unclear ownership or reuse terms need the appropriate adviser; file possession alone does not settle them.
